Administrative Coordinator, Organizational Growth and Equity, the HAVI

Brief Overview:

We are seeking an individual to join the Organizational Growth and Equity Division as the Administrative Coordinator of Organizational Growth and Equity for the HAVI.

Position Description:

To heal communities affected by violence, The Health Alliance for Violence Intervention ( fosters hospital and community collaborations to advance equitable, trauma-informed care for violence intervention/ prevention programs. Our vision is to build a system of healthcare that mobilizes hospitals and communities to end violence, together.

Hospital-based violence intervention programs (HVIPs) vary in their design and scope. Essential components of HVIPs include a brief intervention to violently injured patients in the emergency department or at the hospital bedside and intensive community-based case management services following discharge. HVIP services are provided by culturally specific Violence Prevention Professionals. HVIPs are rooted in the philosophy that violence is preventable, and that violent injury offers a “teachable moment” and unique opportunity to break cycles of violence. HVIPs embrace a public health approach to violence prevention as they are grounded in data, which indicate that victims of violence are at elevated risk for re-injury and violence perpetration. This model has been the subject of numerous peer-reviewed studies indicating promising impact on injury recidivism, criminal justice contact, and trauma symptoms. HVIPs are now a recommended practice by the federal government.

The network has grown to hundreds of individuals, including physicians, nurses, social workers, therapists, violence prevention professionals, outreach workers and researchers who are affiliated with 49 member programs in the U.S., Canada, England, and El Salvador. Our goal is to support the growth of HVIPs throughout the United States. The HAVI is structured within 4 divisions: Capacity Building, Organizational Growth and Equity, Policy and Communications, and Communities of Practice.

HVIPs are one of a handful of evidence-informed practices that support cities reduce violence and scale trauma-informed care. The field has largely been fractured, and recent federal, state and local advocacy efforts have helped encourage collaboration and coordination across various approaches. This shift – from individual programs to integrated strategies – has led to an emergent concept of a community violence intervention ecosystem (CVI ecosystem).

The HAVI is a fiscally sponsored project of Health Resources in Action, Inc. (HRiA).

This essential position will report to and support the HAVI Managing Director of Organizational Growth and Equity. The Administrative Coordinator will coordinate engagement across the division and the organization to support collaboration and organizational growth with a focus on equity. The three departments that sit within the division are Organizational Growth and Equity, Operations, and Strategic Planning. Duties and assignments will be broad in scope and strategic in nature, including project management, strategic planning, and administrative functions.

The Administrative Coordinator has a strong understanding of operational procedures and can work collaboratively in a team-oriented, fast-paced, deadline-driven environment.  The Administrative Coordinator will provide programmatic and administrative support to assist the Division of Organizational Growth and Equity to develop, implement, and advance equity and build the infrastructure of the organization.

The Administrative Coordinator, Organizational Growth and Equity is an exempt and full-time position with a salary range between $60,000-$65,000. The HAVI is a fully remote organization that is fiscally sponsored by HRiA. Due to the COVID-19 pandemic, most HRiA staff are currently working remotely as well. All HAVI staff who are fully vaccinated may work in HRiA’s Boston office as desired and/or conduct in-person work activities as necessary. This position can be fully remote or hybrid, depending on the location of the candidate.

The Administrative Coordinator, Organizational Growth and Equity will report to the Managing Director, Organizational Growth and Equity. This is an exempt, full-time, fully remote position.

Duties and Responsibilities:

This includes but is not limited to the following:


  • Provide administrative support for the HAVI Organizational Growth and Equity division, including communications, scheduling, drafting, reviewing, and proofreading materials, ordering supplies and curating resources for projects and staff development.
  • Assist the Managing Director in scheduling, planning and implementing meetings, projects, staff events and other activities.
  • Coordinate the technology and materials development for in-person bi-annual staff convenings and virtual, weekly staff meetings.
  • Organize and maintain the Division’s internal files and documents.
  • Manage the ongoing maintenance of the HAVI CRM by entering data and generating reports and dashboards.
  • Manage a portfolio of independent projects, including planning professional development trainings and staff retreats
  • Manage additional tasks, as assigned.

Project Work

  • Support the Associate Director of Organizational Growth with the coordination of the new staff onboarding process, outreach and communication to candidates.
  • Support the Director of Operations with administrative support to prepare and submit monthly Certify and credit card reconciliation reports.
  • Schedule and facilitate calls, take meeting notes, develop agendas, and report on next steps and meeting outcomes.
  • Provide logistical, technical and administrative support for both on-line and virtual training for staff.
  • Provide administrative support for events and programming, including staff convenings/retreats, weekly staff meetings and the HAVI Annual Conference.
  • Partner with staff, especially other coordinators and the Executive Assistant across the organization to support ongoing work.
  • Provide back-up administrative support for the HAVI Advisory Board when needed.
  • Complete other duties as assigned.

Thought Leadership

  • Identify relevant resources and stay current on trends and effective organizational growth and racial equity strategies and principles.
  • Participate in the development and facilitation of co-created spaces to meaningfully engage with HAVI staff.
  • Identify best and promising practices for effective organizational systems and methods to work in and support staff in virtual work environments.
  • Conduct general research on violence prevention, adult education, professional development, and related topics.
  • Participate in HAVI/HRiA committees, workgroups, and organization-wide events, as appropriate, and suggest improvements in processes, etc.

Business Development

  • Assist with contract development, report writing, and evaluation summaries.

Special Requirements

  • A bachelor’s degree and at least two years of experience in program planning, coordination and operational support including writing, notetaking, and scheduling or at least five years of experience in program planning, coordination and operational support including writing, notetaking, and scheduling
  • Flexible and creative problem-solver who is comfortable in a fast-paced environment
  • Ability to communicate effectively with a variety of different audiences
  • Ability to work in a virtual, remote environment
  • Ability to travel nationally as needed.

  • Proficiency in or capability of learning new software, including Zoom, Insightly (CRM) and Adobe Acrobat
  • Experience in event and meeting planning, coordination, and logistical support
  • Excellent problem solving, organizational, and critical thinking skills
  • Resourceful self-starter with a proven ability to perform under tight deadlines
  • Strong written, verbal and interpersonal skills, including communicating by videoconference, phone, and/or in person (when needed) with community members and organizational partners
